What to Check in a Group Dinner Booking Confirmation
Check your dinner date, booking status, included costs, venue announcement and arrival instructions. Know what to ask when confirmation details are unclear.
After booking a group dinner, take a moment to check what the confirmation actually tells you. Some organisers provide the restaurant immediately; others send it later. A useful check separates what is confirmed from what is still to come, so you are not reconstructing the plan while travelling to the meal.
01Confirm the event, not just the transaction
Look for the dinner date, city, start time and the wording describing your place. Check that these match what you intended to book. If you booked while travelling or from another time zone, make sure you understand which local time the event uses.
A receipt may describe a payment without containing every event detail. Read any separate booking message or account status too. If the information conflicts or you cannot tell whether you have a place, ask through the official support route before making another purchase. Do not infer the answer from a payment notification alone.
02Check what the amount covers
Read whether your payment covers organising, food, drinks or another part of the evening. Keep any additional restaurant costs in your plan. A confirmed place at a dinner does not necessarily mean the meal has been prepaid.
If the amount or event differs from what you expected, retain the relevant messages and ask the organiser to clarify. Do not share full card information, passwords or an unredacted payment screenshot in a public group. A booking reference and a concise description may be enough to start a private enquiry.
03Identify details that are deliberately pending
If the restaurant will be announced later, note when and through which channel you should receive it. Check the organiser's actual wording; there is no universal release time for social dinners. You may need to look in an account, app or email rather than expecting every channel to carry the same update.
Distinguish “venue to follow” from a missing message that should already have arrived. When an announced deadline passes without the expected information, check the stated channel and contact the organiser. Avoid choosing a restaurant yourself from a photograph or an old event listing.
04Read the arrival instructions when they arrive
Check the exact restaurant branch, address, arrival time and any reservation name or meeting point. If you are told to ask for a particular booking, save that name. Your personal name, the event brand and the restaurant's reservation name may not be identical.
Do not assume a host or check-in desk will be present unless the instructions say so. For the situation where you reach the venue but cannot identify the table, use our guide to finding your group on arrival.
05Keep practical questions specific
If something essential remains unanswered, ask one clear question with the relevant event date. For example: “My confirmation says the venue details will arrive today, but I cannot find them in the stated channel. Can you confirm where I should check?” This gives the organiser something actionable.
If access, food arrangements or timing are essential to attending, do not treat a generic booking confirmation as an answer to those questions. Check whether your specific requirement has been addressed. A preference entered during signup is not the same as a venue confirming a particular arrangement.
06Keep a current copy and the right contact route
Save the essential details somewhere you can retrieve on the journey. If you save a screenshot, check for later updates before setting off. Avoid forwarding a complete confirmation to someone who only needs the venue address; it may contain private information or links intended for your use.
Know which route to use if you are delayed, and do not assume a general inbox replies immediately. Our late-arrival guide covers sending a useful update without promising yourself that the table will wait.
07Use the terms attached to your booking
Locate the applicable change and cancellation information before you need it. This article does not create a refund entitlement, a lateness allowance or a support response time. If you need to change something, follow the provider's stated process and keep its response.
KF.Social offers six-person dinners in London. The booking fee is £15, with food, drinks and travel extra. Check the current booking details rather than treating this general checklist as a promise about a particular venue or announcement time. Once the important information is clear, you can focus on the evening itself.
